TSUEAA Policies and Procedures

Standing Rule to the TSUEAA Constitution Policies and Procedures
For Distributing the Funds from the CoETCS Alumni Endowment

 

PURPOSE

To recommend the use of the income generated from these funds for such needs as CoETCS student scholarships, student education projects, teaching resources, laboratory equipment, and such other purposes as the TSUEAA shall consider appropriate.

 

PROCEDURE

  1. The Treasurer/Finance Committee shall determine the amount of funds available after July 1st of each year. (A rolling average of the past three years income in addition to any funds dedicated for use in the upcoming funding year.) This information will be provided to the Dean of the CoETCS by July 15th.
  2. The dean will recommend needs and priorities to the TSUEAA by September 1st.
  3. An CoETCS Alumni Endowment Review Committee will review the TSU College of Engineering, Technology and Computer Science recommendations.
    1. The CoETCS Alumni Endowment Review Committee is composed of a chair appointed by the president, one alumni member from each decade. The dean of the TSU College of Engineering, Technology and Computer Science. The president, vice-president and treasurer of the TSUEAA are ex-officio members.
    2. The voting procedure is as follows for e-mail balloting. After the recommendation is sent to the committee, there will be one week to propose changes or vote. After that, the committee will have a minimum of two weeks to vote. A plurality of those voting will be sufficient for a decision.
    3. The committee will ensure that the selection procedure is in accord with the TSUEAA – TSU Foundation Agreement including applicable foundation, university, state and federal policies.
  4. The CoETCS Alumni Endowment Review Committee will present their recommendations for priorities to the TSUEAA Executive board for approval.

  5. After the E-board approval the recommendation will be provided to the chapter for approval. The voting will occur at the annual meeting or by e-mail ballot.

  6. After approval of the chapter, the chapter president will release the funds from the TSU Foundation by letter.
  7. The CoETCS Alumni Endowment Review Committee will monitor the use of the funds and report at a minimum on an annual basis to the chapter.
  8. Any changes to this standing rule shall be provided to the TSU Foundation to update the agreement.
